If an email seems to be stuck in your Outbox, continue on to the steps below to either clear the stuck message or see if a bad connection to your mail server is stopping the message from being sent.
 

Clearing a stuck message

To clear stuck email, follow these steps:

  1. In Outlook, click the Send/Receive tab, and then click Work Offline.Note: This stops Outlook from trying to send all email messages.
  2. Select the Outbox. You can now:
  3. Move the message: Move the message to the Drafts folder. You can either drag the message to the Drafts folder or you can right-click the message, select Move, select Other Folder, and then select the Drafts folder from the list.Note: This enables you to open the large email message, and remove, resize and re-add the attachments before you try to resend the email message again.
  4. Delete the message: Right-click the message and select Delete.IMPORTANT: If you receive this message "Outlook is transmitting the message" close Outlook and wait for it to exit. You may have to use Task Manager in Windows to make sure that the Outlook.exe process is completed. Restart Outlook again and repeat the previous steps to either move or delete the email message.

How to Troubleshoot Email Problems in Outlook with Transaction Logging


Usually, sending and receiving mail works smoothly in Outlook. But as soon as you have become a bit too accustomed to this error-free email existence, a puzzling and ill-explained error pops up.
If the unexplained error does not go away, only a log can help. Outlook can create a detailed list of what it is doing, sending and receiving as it tries to exchange mail. Using this log, you can either pinpoint the problem yourself or at least show it to your ISP's mail support person, for example.
Outlook can log all communication with Exchange, POP, SMTP and IMAP servers as well as Hotmail communication.

Troubleshoot Email Problems inOutlook with Transaction Logging

To log email traffic for troubleshooting in Outlook:
  • Select Tools | Options... from the menu in Outlook.
  • Go to the Other tab.
  • Click Advanced Options.
  • Make sure Enable logging (troubleshooting) (or Enable mail logging (troubleshooting) in Outlook 2003) is enabled.
  • Click OK.
  • Click OK again.
  • Exit and restart Outlook.
Now it's time to
  • attempt the failed email action — sending the message or retrieving new mail, for example — again
to reproduce the error. After you have generated the error, make sure you
  • uncheck Enable logging (troubleshooting) (or Enable mail logging (troubleshooting)) again
via the steps outlined above before you restart Outlook once more.

Find the Log File

While turning transaction logging on or off is easy in Outlook, finding the log files can be a bit more involved:
  • Select Run... from the Start menu.
  • Type "%temp%" (without the quotation marks).
  • Click OK.
  • POP and SMTP:
  • Open the OPMLog.log file in the folder that opens.
  • IMAP:
  • Open the Outlook Logging folder.
  • Go to the folder named after your IMAP account.
  • Open the imap0.log, imap1.log etc. files.
  • Hotmail:
  • Open the Outlook Logging and then the Hotmail folder.
  • Open the http0.log, http1.log etc. files.

How to export Outlook items to an Outlook personal folders (.pst) file



Information in Microsoft Outlook 2010 can be exported to an Outlook Data File (.pst). This provides a way transfer Outlook 2010 items to another computer or to make a backup.
Folder properties such as permissions and views are not preserved when you export to an Outlook Data File (.pst). Only the content itself is exported.
  1. Click the File tab.
  2. Click Options.
  3. Click Advanced.
  1. Under Export, click Export.
  1. Click Export to a file, and then click Next.
  2. Click Outlook Data File (.pst), and then click Next.
  3. Select the account — a top level folder — that you want to export. This enables exporting all mail, calendar, contacts, tasks, and notes if available for that account.
    Only information for one account can be exported information at a time.
Make sure that the Include subfolders check box is selected.
  1. Click Next.
  2. Click Browse to select where you want to save the Outlook Data File (.pst) and to enter a file name. Click OK to continue.
   If you have previously used the export feature, the previous folder location and file name appear. Make sure that you change the file name if you want to create a new file instead of using the existing file.
  1. If you are exporting to an existing Outlook Data File (.pst), under Options, specify what to do when exporting items that already exist in the file.
  2. Click Finish.
The export begins immediately unless a new Outlook Data File (.pst) is created or the export is to an existing file that is password protected.
  • If you are creating a new Outlook Data File (.pst), an optional password can help protect the file. When the Create Outlook Data File dialog box appears, enter the password in the Password and Verify Password boxes, and then click OK. In the Outlook Data File Password dialog box, enter the password, and then click OK.
  • If you are exporting to an existing Outlook Data File (.pst) that is password protected, in the Outlook Data File Password dialog box, enter the password, and then click OK.

SMTP Error 221 : The server is ending the mail session – it is closing the conversation with the ISP as it has no more mail to send in this sending session. SMTP Status 221 is often misconstrued as an error condition, when it is in fact nothing of the sort.
