How to Troubleshoot Email Problems in Outlook with Transaction Logging

Usually, sending and receiving mail works smoothly in Outlook. But as soon as you have become a bit too accustomed to this error-free email existence, a puzzling and ill-explained error pops up.
If the unexplained error does not go away, only a log can help. Outlook can create a detailed list of what it is doing, sending and receiving as it tries to exchange mail. Using this log, you can either pinpoint the problem yourself or at least show it to your ISP's mail support person, for example.
Outlook can log all communication with Exchange, POP, SMTP and IMAP servers as well as Hotmail communication.

Troubleshoot Email Problems inOutlook with Transaction Logging

To log email traffic for troubleshooting in Outlook:
  • Select Tools | Options... from the menu in Outlook.
  • Go to the Other tab.
  • Click Advanced Options.
  • Make sure Enable logging (troubleshooting) (or Enable mail logging (troubleshooting) in Outlook 2003) is enabled.
  • Click OK.
  • Click OK again.
  • Exit and restart Outlook.
Now it's time to
  • attempt the failed email action — sending the message or retrieving new mail, for example — again
to reproduce the error. After you have generated the error, make sure you
  • uncheck Enable logging (troubleshooting) (or Enable mail logging (troubleshooting)) again
via the steps outlined above before you restart Outlook once more.

Find the Log File

While turning transaction logging on or off is easy in Outlook, finding the log files can be a bit more involved:
  • Select Run... from the Start menu.
  • Type "%temp%" (without the quotation marks).
  • Click OK.
  • POP and SMTP:
  • Open the OPMLog.log file in the folder that opens.
  • IMAP:
  • Open the Outlook Logging folder.
  • Go to the folder named after your IMAP account.
  • Open the imap0.log, imap1.log etc. files.
  • Hotmail:
  • Open the Outlook Logging and then the Hotmail folder.
  • Open the http0.log, http1.log etc. files.

SMTP Error 101 : Typically your SMTP server or email program is unable to even start an SMTP session. Typical replies will be “SMTP Error 101, Error opening connection” or “SMTP Error 101, cannot open SMTP stream”.

All SMTP Error 101 errors usually point to a configuration problem, such as an incorrectly spelt SMTP server, or an IP address that does not exist, or an SMTP port that does not exist or which the recipient will not accept SMTP connections on, or some other process is already using the default SMTP port, port 25.

what is 111 error in ms outlook

SMTP Error 111 : Typically from Linux based email systems such as SquirrelMail and Mailman. The message will usually go like this : “Connection refused, 111 Can’t open SMTP stream”.

All SMTP Error 111 errors usually point to an inability of your server to communicate with the remote SMTP server(either the recipient’s SMTP server or your ISP’s SMTP server) or to a Linux/SMTP software configuration problem,

typically /etc/hosts not being world readable, or a newly installed or reconfigured firewall preventing connection to the remote SMTP server, or incorrect hostnames and/or domains (e.g. does your sending
hostname match your IP address in a reverse lookup?), or exim not running. Telnet and logs should help you home in on the problem.

What is SMTP Error Code 252

SMTP Status 252 : The user account appears to be valid but could not be verified, however the server will try do deliver the message. There are sometimes circumstances where an email address appears to be valid but cannot be verified as definitely valid during the SMTP session between the sending server (your server) and the next server to accept your message. This can happen for example in very large corporation where the first email receiving server might only be an email exchanger server, a gateway server to the eventual server which holds the user mailboxes and which can verify if the intended recipient exists in that organization. When this happens the gateway server will reply with an SMTP Error 252 telling your sending server

that it cannot verify the user part of the email address, that the domain part is OK, and that it will forward your email to a server which can do the checking and eventually deliver to the user mailbox if it exists.

What is SMTP Error 354

SMTP Error 354 : This is normally in response to the DATA command. The server has received the From and
To information and is now asking for the “Message Body”, the main part of the message which should be ended by two blank lines separated by a dot (period). Therefore, on receiving an SMTP Reply 354 the sending server should send the body of the message to the

receiving server and indicate the end of the message body with <CRLF>.<CRLF> (note the full stop between the two Carriage_Return-Line_Feed’s).

Timeout communication problem encountered during transmission. This is a Novell GroupWise SMTP Error in Outlook

SMTP Error 420 : In our experience only Novell GroupWise servers use this error (we use GroupWise!).
You will get a GroupWise GWIA (GroupWise Internet Agent) 420 TCP Write Error or 420 TCP Read Error if there are communication problems during transmission of the actual message after the sending and receiving servers
have actually connected. A small number of 420 SMTP errors is normal as occasional peaks of Internet usage may delay the transmission of an email with attachment so much that a timeout occurs. When a timeout occurs on a

domain’s DNS is set up correctly). In an ideal world a well behaved recipient server should really be issuing your GroupWise server with a 554 error rather than timing out and causing the GroupWise GWIA to fault with a 420 error.

This is a local error with the sending server and is often followed with “Please try again later in Outlook

SMTP Error 471 : This is always a local error with your own mail server. SMTP Error 471 (or 4.7.1) is usually tagged onto a primary SMTP error code, for example “SMTP Error 450 4.7.1”, or “SMTP Error 451 4.7.1”, or Error 550 4.7.1”; example : “451 4.7.1 Greylisting in action, please come back in 00:02:00 [minutes]”. In all

the cases that we have seen SMTP Error 471 is usually caused by anti-spam or virus scanning software on your

server (the sending server) getting into problems through a bug in the software, or because of a bad automatic update from the antivirus/anti-spam manufacturer, because of lack of memory on your server, or because of hard disk problems

If you are using an IMAP e-mail account, you can control when items are deleted. Under Purge Options, select or clear the Purge items when switching folders while online check box.
On the Folders tab, you can choose where mail that you send from this account is saved.
On the Outgoing Server tab, you can specify whether your outgoing SMTP mail server requires authentication. This is almost always required if your ISP allows you to send e-mail messages through your ISP e-mail account when you are not directly connected to the ISP network. For example, if you want to send an e-mail message with your home ISP e-mail account and you are away from home connected to your work network you usually must select this option.
Use the Connection tab to configure how Outlook connects to the mail server.
If you are instructed by your ISP or e-mail administrator to change the port numbers or encryption method used by your e-mail server, you can make the change on the Advanced tab.

Auto-File Mail and Spam in Outlook Express with POP File

Think about the types of emails you get: personal mail from friends and family, newsletters, work-related messages, and lots of spam.
By default, all these emails arrive in your Outlook Express Inbox indiscriminately. What a mess.
Wouldn't it be nice if Outlook Express could clean up the mess automatically, filing mail in appropriate folders? With the help of POP File, a smart email classification tool, it can. Here's how to set it up.

how to Log POP and IMAP Traffic to Fix Windows Live Mail or Outlook Express Problems

Logging for Troubleshooting and Curiosity

Email works. Sometimes, however, it decides on your behalf that you want to learn a bit about how it works under the pretty surface of Windows Live Mail, Windows Mail or Outlook Express. Via error messages and emails not received it directed you to this page, and it will take you to seeing log files of POP or IMAP traffic. Fascinating stuff!
Logging POP and IMAP — the protocols used by Windows Mail and Outlook Express to receive messages — is not only very interesting an endeavor per se, often it also allows you to pinpoint the problem, get an idea where it might lie or confirm that it is not your fault. Pay close attention to what the server says in particular.

Log POP and IMAP Traffic to Troubleshoot Windows Live Mail, Windows Mail or Outlook Express Email Problems

To log POP and IMAP traffic in Windows Live Mail, Windows Mail or Outlook Express:
  • Select Tools | Options... from the menu.
  • In Windows Live Mail, hold down the Alt key if you do not see the menu bar.
  • In Windows Live Mail and Windows Mail:
  • Go to the Advanced tab.
  • Click Maintenance....
  • In Outlook Express:
  • Go to the Maintenance tab.
  • Make sure both General and E-mail (Windows Live Mail) or both Mail and IMAP (Windows Mail and Outlook Express) are checked under Troubleshooting.
  • Click OK.
Now, when you try to download mail from your POP account or access your email on the IMAP server, Windows Mail or Outlook Express takes note of everything going on.
For the gory details to surface, you need to find the log files created by Windows Mail or Outlook Express and open them in a text editor like Notepad. I'll try to make this sound as frighteningly difficult as possible so you'll be delighted by how easy you find the process. No, it's really simple.
